Determining the condition of an item

How do we determine the condition of an item? I've been buying items online for a long time, and even more so since the beginning of the Covid-19 pandemic. In fact, at this point, my online toy purchases far, far outweigh what I tend to find at retail or otherwise in-person "in the wild." When I draft a description for an item on the site, I try to articulate the key facts and details that would matter most to me as a collector and a buyer and the way that I tend to see those things described on other's sites where I frequently shop with confidence. Having said that, accurately describing the condition of an item, especially a used or vintage item, can be tricky. A long time ago I tried to use a detailed condition scale (C1-C10, etc.). Over time I realized that if the scale is too rigid (or not rigid enough) it can be misleading and/or hard to apply to every situation, especially when there's a combination of toys, books, comics, memorabilia, etc. it's being applied to. Of course that type of scale works well for professionally graded items, but we don't offer that service and are not trained to apply that level of consistent and official grading. For the most part, we write it like we see it and we try to provide the best photos we're capable of providing at this point in time.
